Wentzel improves order process with eOne integration between NetSuite and Docparser

Wentzel is an importer and distributor of non-ferrous metals like zinc, copper, and sheet lead for construction applications. A substantial portion of the sales department’s work involved manually entering orders, which Wentzel considered a waste of time. Cadran implemented a solution with eOne that integrated Docparser and NetSuite, allowing orders to be automatically imported into NetSuite.

Wentzel supplies to technical wholesalers who then deliver to plumbers, roofers, or contractors. Sanne Wenzel is responsible for the entire supply flow at Wentzel as the operational manager. In her role, Sanne focuses heavily on automation and optimizing NetSuite. Automation poses a significant challenge because the building and material sectors are not frontrunners in automated order processing. Sanne: “The majority of orders were still processed by PDFs that had to be manually entered into the system, but thanks to eOne, that is now a thing of the past.”

A Reliable Partner

Due to the manual entry of orders, the order process at Wentzel took longer than desired. A handy tool called Docparser translates a document, such as a PDF, into data that can automatically be entered into an ERP system. Cadran helped transition the existing order flow to eOne, an advanced integration tool for NetSuite and Docparser. Companies using eOne are able to integrate their systems seamlessly, so processes can be automated, making operations more efficient.

This wasn’t an easy job because there was a lot of customization in the existing flow; for example, customers order in units which differ from the standard. Nevertheless, Cadran managed to complete it within the stipulated time. Sanne: “Cadran took a lot out of our hands. We don’t have the specialized knowledge in-house, so it is extra important that we are able to fully rely on a partner. If I indicate in the ticket system that something is urgent, it is quickly addressed. In that regard, Cadran has the perfect company size. So I am familiar with all the contacts and there is always someone available to help us.” Wentzel has now been working with the platform for two months.

Automation of the Order Flow

Orders that come in by email as PDFs are automatically imported into NetSuite in the new setup. “This saves us a lot of typing work. So our salespeople can spend that time on different activities, like helping customers and providing service. Furthermore, we see that the eOne connection speeds up the entire process. Orders are entered into the system faster, so the customer receives the order confirmation more rapidly and can logistically process the order more quickly. Moreover, this reduces the chances of mistakes,” says Sanne.

Besides automating the order flow, Wentzel also desires to synchronize data automatically from NetSuite to their website. This mainly involves product data. “When we change the data in NetSuite, we don’t want to manually change this on the website again,” Sanne explains. “We want to avoid double procedures as much as possible. eOne is an excellent tool for this, especially for keeping the information always up to date.”

Making Major Improvements

Ultimately, a combination of Docparser, EDI, and a web portal via eOne can make manual order processing almost obsolete. “That’s the direction we need to move towards,” she says. “But Wentzel has already made most of the major automation improvements. There will always be customers who send an email with additional information that our sales department needs to process. Approximately 80 percent of orders are well-formatted and can be read by Docparser and sent to NetSuite via eOne.” Sanne adds, “It’s a utopia to think you can automate everything, but we’re well on our way.”
