From resistance to acceptance: 4 tips for a successful ERP project

An ERP project is only truly successful when end users are properly involved. Users often feel pressured when balancing their daily tasks with project work, which can lead to misunderstandings and frustration, especially if they have limited experience with project terms and processes. The key? Strong preparation. This forms more than half of the project’s success.
1. Align on the project methodology
To avoid miscommunication, it’s essential to agree on the project methodology (such as Prince2) in advance. Ensure everyone involved has the same basic knowledge of this method by offering training sessions. This creates a common language, enabling better understanding among team members. The tools used during the project also require basic training to support smooth communication and prevent misunderstandings.
2. Ensure sufficient user capacity
To prevent users from feeling overwhelmed, assess the necessary knowledge and skills in advance and match them with availability. If specific expertise is lacking, consider bringing in temporary support. Actively involve department managers of the users in the project, for instance, in the steering committee. This gives users additional assurance and fosters a sense of support. The goal is for all users to remain engaged throughout the project, building support for the new solution.
3. Manage user expectations
Clear communication about what is and isn’t part of the project is crucial to prevent misunderstandings and disappointment. Document the project’s goals and limitations beforehand and communicate this with the team. This establishes realistic expectations and ensures that the promised quality is met.

A successful project begins with a well-assembled team, clear communication structures, and a defined scope. Getting these basics right prevents users from being overloaded with work, keeps expectations on track, and safeguards quality. All these elements increase the chances of a smooth and successful project.
