How Does It Work?

Scanning and Recognition
Your accounts payable team scans all incoming invoices daily. Advanced recognition technology automatically fills in invoice fields such as supplier information, invoice numbers, and amounts. After a quick validation by an employee, the invoice is ready for coding or automatic matching.

Automatically Processing Emails
Many invoices nowadays arrive in PDF format via email. With ISPnext, you no longer have to open or print these manually. The software automatically reads mailboxes, stores attachments, and processes them directly.

Electronic Archiving

Coding Expense Invoices
When coding expense invoices, ISPnext uses smart templates. These templates automatically fill in default values based on the supplier. You can always overwrite these values if necessary.

Automatic Matching
AP Automation supports both 2-way and 3-way matching. The system automatically compares invoice data (such as total amount and purchase order numbers) with goods receipts. If the invoice amount matches the balance of goods receipts, the system automatically processes the invoice. In case of a mismatch, the difference must be explained, and ISPnext AP Automation offers the invoice for review by the responsible buyer. Once the buyer makes a decision in AP Automation, the administrative process in JD Edwards is fully automated.

Control and Approval
